PRIVACY POLICY FOR THE ROSTERSPACE MOBILE APPLICATION
This privacy policy governs your use of the Rosterspace software application for mobile devices that was created by Code21 Solutions Pty Ltd. The application is a mobile version of the Rosterspace application, a Workforce Management system used by your employer.
What user identifiable or sensitive information does the application obtain and how is it used?
Code21 Solutions Pty Ltd captures basic user identifiable data to enable required basic app functionality. Examples of user identifiable or sensitive information which may be captured include:
· Username
· Email address
· Full Name
· Clock in/clock out location (optional)
· Attachments (optional)
When and why are locations captured?
When using the Rosterspace mobile application, your device location may be captured. The requirement for this data is determined by your employer to record your attendance at work. If your employer deems your location data to be mandatory, you will be required to enable location services to use the employee clocking function in the application.
Your location will be recorded together with your shift start and finish time. This data may be visible to your manager, or anyone else authorised to view this information within your organisation. Your location will be stored historically for the point in time where your shift commenced (Clock In) or finished (Clock Out) within the Rosterspace application.
If you do not want to provide your location for the purposes set forth above, you should turn off the location services for the mobile application located and contact your manager to discuss alternative arrangements for capturing your work attendance.
When and why are attachments captured?
When using the Rosterspace mobile app, you may optionally submit an attachment to a leave application. For example, you may attach a scan of a doctor’s certificate to a sick leave application to explain why you were absent from work.
This attachment will be visible to your manager or anyone else authorised to view this information within your organisation. These attachments may also be visible to authorised employees from Code21 Solutions Pty Ltd.
Usage of the attachments feature is optional. If you do not want to submit attachments electronically, you may submit your leave application without an attachment and discuss alternative arrangements with your manager.
Can you view my sensitive data?
In cases where Code21 Solutions Pty Ltd is requested to provide technical assistance with regards to the Rosterspace application, user identifiable and sensitive data may be visible to Code21 Solutions Pty Ltd employees who are authorised by your employer to access the Rosterspace application. In such cases, in no way is this data downloaded, stored, copied or shared. This data is treated with a high level of security and sensitivity at all times.
Do we share your sensitive data?
We do not share your data externally. All data captured by this application is used exclusively by your employer for workforce management purposes. Authorised staff members from Code21 Solutions may be granted access to your data for the purpose of administering and supporting the service.
Where is your data stored?
All captured data and backups are stored on servers and related hardware located physically in Australia only.
What is your data retention policy?
Application data is retained while a customer retains an active account. Data for inactive accounts will be permanently deleted after 6 months.
How do we secure your data?
We are concerned about safeguarding the confidentiality of your information. Data is encrypted both in transit and at rest.
We provide physical, electronic, and procedural safeguards to protect information we process and maintain. For example, we limit access to this information to authorised employees who require access in order to operate or support the Rosterspace platform.
Please be aware that, although we endeavour to provide reasonable security for information we process and maintain, no security system can prevent all potential security breaches.
